INFORMATION FOR JOB APPLICANTS

BΕΤATHLON LTD, as the Data Controller for the processing of personal data and in compliance with Article 13 of Regulation (EU) 2016/679 on the protection of personal data, provides the following information to you explaining when and why we collect personal data (or personal information) about people like you who apply to work with us, the way we use it and the relevant legal basis, the terms underwhich we may disclose it to third parties, your rights and our DPO contact details in case you want to exercise one of them or submit a query or a complaint.

How do we collect information from you?

We obtain information about you:

- when you apply to be hired by our Company during the recruitment process by submitting your application and/or resume (cv) directly or indirectly via the employment agency you are associated with.

 

What type of information is collected about you?

The personal information we collect may include your name and your contact details, such as yourtelephone number, email address, address and any other information you voluntarily provide through your employment application, such as your resume or certifications for attending training seminars.

 

How is your information used?

BΕΤATHLON LTD will use and process your personal data lawfully only for the purpose of examining yourjob application and decide whether to conclude an employment contract with you in accordance with Article 6 (1)(b) of the General Data Protection Regulation (GDPR) and/or for notification purposes for future job vacancies in our company in case you have consented to such processing in accordance with Article 6 (1)(a) of the General Data Protection Regulation (GDPR).

You are not obligated to give us the above personal data, but if you chose not we will not be able to fulfillthe above purpose regarding your job application and/or your notification.

 

You can withdraw your consent to the notification purposes at any time with a relevant request to the Data Protection Officer (DPO) of our company.

 

In case you withdraw your consent, the relevant processing of your personal data will be stopped and we will delete your personal data without the lawfulness of the processing that preceded the withdrawal being affected.

 

Where and how long do we retain your information for?

Your personal information will be stored in physical files (hard copy) and/or in computer servers (electronically) for a period of three (3) months from the filling of the position you applied.

In case we hire you, we will keep your personal information and additional information we will collect from you in accordance with our employees privacy policy, which will be communicated to you at the time ofyour hiring and request for additional data.

 

Who may have access to your information?

Where necessary, the company’s personnel will have access to your information during our cooperation, as well as service providers, such as our IT providers and/or our lawyers. 

Your information is kept as confidential and shall not be transferred or disclosed to a country that is not a Member State of the European Union or EEA.

 

What are your rights?

You may at any time send us any of the following requests and we will meet them the earliest possible and, in any case, within 1 (one) month from the date of receipt of your request and inform you about the action we have taken. If your request is for any reason complex to examine or meet, an extension might berequired, but we will notify you before the aforementioned one-month period expire and provide details of the length of the extension.

If we have legitimate reasons to refuse to satisfy your request, we will inform you accordingly.

These are your rights and the relevant requests you can submit to us:

A request from you to access your information that we keep in our records (right of access)

A request that we provide you with a copy of your information that exists in our records, in digital or hardcopy form (right to a copy).

A request that we permanently delete all or some of your information from our records (right to be forgotten or to erasure), for example, in case we no longer have reasons to have it.

A request that we update or correct personal information that we keep in our records (right torectification), for example, in case it is outdated or contains errors or inaccuracies.

A request that we provide you with information of yours we keep in our records in a structured, commonly used, and machine-readable format or forward it in such form to another provider of your choice, if such forwarding or transfer is technically possible (right to portability). Please note that this right appliesonly in relation to data that you yourself have provided to us with and which we process by electronic means, in the context of a contract between you and our Company or because you have consented to us doing so.

A request that we stop doing anything with your information without however deleting it from our records (right to restriction of processing). In this case, we will restrict access to your personal data withoutdeleting it if we are to satisfy your request.

 

In case you have consented to processing for notification purposes about future vacancies you can also submit a request to withdraw your consent at any time (right to withdraw consent), without affecting the lawfulness of processing based on consent before its withdrawal.

 

If you wish to learn more about your rights or wish to exercise any of the above rights, you will be able to do so by contacting our DPO at any of the contact details stated above.

 

Please note that before acting upon any of your above requests, we may require you to prove your identity, ifwe are in doubt about your true or correct identity. If we cannot identify you, we will inform you accordingly and we will not act upon your request.

 

The personal data relating to the handling of any of your requests will be retained up to nine (9) months after the completion of any procedure relating to the request while data relating to the handling of any databreach, complaint or report about a violation or data breach, up to 12 months after the completion of anyrelated procedure.

You have the right to submit a relevant complaint to the Cyprus data protection authority, namely, theCommissioner for Personal Data Protection (http://www.dataprotection.gov.cy/) if you believe that we do not handle your personal data in compliance with the Regulation.
